1. Booking and Payment

1.1 Reservation: To secure your trip, you must make a reservation through our website or by direct communication. A deposit or full payment, depending on your booking, is required to confirm your reservation.

1.2 Payment Methods: We accept various payment methods, including credit/debit cards, bank transfers, and other secure online payment options. All payments are processed securely, ensuring that your financial details remain private and safe.

1.3 Final Payment: The remaining balance must be paid according to the agreement made at the time of booking. If the remaining balance is not paid in full by the due date, we reserve the right to cancel your booking without issuing any refund.


2. Pricing and Fees

2.1 Trip Costs: The total cost of your trip will be clearly stated during the booking process. Prices include all services specified, such as transportation, contractors, and other arrangements made by us on your behalf.

2.2 Additional Charges: If there are any additional services or changes to the itinerary during your trip, extra charges may apply. We’ll notify you of these fees in advance, and approval will be required before proceeding.

2.3 Currency and Taxes: All prices are listed in GBP. Applicable taxes or fees will be added to the total during checkout.


3. Cancellation and Refund Policy

We understand that life can be unpredictable, and plans may need to change. However, please be aware that we’ve made arrangements with drivers and contractors to prepare your trip in advance. This means that cancellations or changes after booking are subject to the following policy:

3.1 The Deposit is Non-Refundable
When you confirm your booking, a deposit is required to guarantee your reservation. Please note that the deposit is non-refundable. This deposit helps us secure services with contractors and drivers, who rely on our confirmation to make their own arrangements.

3.2 No Refunds for Cancellations
Due to the nature of our business, where prepayments are made to service providers and contractors, no refunds can be issued for cancellations by the customer. Once your booking is confirmed, the costs associated with organising your trip are already allocated to the parties involved, and these arrangements cannot be undone. Therefore, we are unable to return any funds in the event of a cancellation.

3.3 Last-Minute Cancellations and No-Shows

  • No-shows: If you fail to show up at the scheduled time and location, no refund will be issued. We encourage you to communicate with us if you encounter any issues that could prevent your attendance.

  • Last-minute cancellations: Cancellations made within 48 hours of the scheduled departure time are considered last-minute and will not be refunded. We understand that emergencies happen, but the time-sensitive nature of our services means we cannot accommodate cancellations at such short notice.

Please note that our team is already working hard behind the scenes to coordinate all aspects of your trip. Once your reservation is confirmed, the resources of our drivers and contractors are allocated to you, which is why cancellations are non-refundable.


4. Changes to Bookings

4.1 Modification of Bookings: Changes to your booking are possible, but they are subject to availability and approval. Any changes that incur additional costs will be communicated to you, and payment will be required before proceeding.

4.2 Transferring Bookings: If you wish to transfer your booking to another person, please inform us at least 48 hours before the departure time. Transfers are subject to approval and availability.

4.3 No Shows: If you miss your scheduled trip without prior notice, it will be treated as a cancellation, and no refund will be provided.


5. Liability and Responsibility

5.1 Our Responsibility: BritRide Limited acts as the coordinator between you, the drivers, and contractors to provide a seamless trip. We strive to ensure everything runs smoothly, but we cannot be held responsible for any issues arising from circumstances beyond our control, such as accidents, weather disruptions, or third-party failures.

5.2 Customer Responsibility: You are responsible for your conduct during the trip. Any damage to property or disruption caused by your actions may result in additional charges or penalties.

5.3 Force Majeure: We are not liable for any delays, cancellations, or interruptions caused by unforeseen events, such as extreme weather conditions, strikes, or other situations beyond our control.


6. Privacy and Data Protection

6.1 Privacy: We value your privacy and are committed to keeping your personal information safe. Your details will only be used for the purpose of booking and organising your trip. We will never sell or share your data with third parties without your consent.

6.2 Data Security: BritRide Limited takes all necessary precautions to ensure that your personal and payment data is securely processed. We comply with all relevant data protection regulations to keep your information safe.


7. Governing Law and Dispute Resolution

7.1 Governing Law: These Terms and Conditions are governed by the laws of the United Kingdom.

7.2 Dispute Resolution: Should any disputes arise regarding these Terms and Conditions, we encourage you to first reach out to us to attempt a resolution. If a resolution cannot be reached, the dispute may be escalated to mediation or arbitration as agreed upon by both parties.
